About Elections
Elections for World Service positions are held annually during the WSO business meetings. Positions begin the first of the month following the election. All members in service should be available to attend the WSO meeting each month during their term of service.
Length of Service
Terms begin on the first of the month following the election. Occasionally, elections may be rescheduled or held as needed when positions become vacant mid-term. In such cases, the same requirements apply, and the term will run from the election date until the end of the current term.
Service Positions
The responsibilities of each WSO position are listed below. As a fellowship we support each other and work together as a whole, so on occasion requests may be made to assist in another position whenever possible.

Chair

Acts as Chair for the Monthly WSO Meeting.

Opens the meeting at the appointed time and calls the meeting to order.

Announces business that comes before the group.

States and puts to a vote all questions that come up as motions.

Responds to inquiries of members relating to procedure or information.

Familiarity with Robert’s Rules of Order, or willingness to learn.
Vice Chair
-
Supports the Chairperson in facilitating the monthly WSO meeting and steps in to chair the meeting in their absence.

Assists with opening the meeting on time and helping to maintain order and flow.

Helps announce agenda items brought before the group as directed by the Chair.

Assists in presenting motions and facilitating the voting process when needed.

Responds to member questions regarding procedure or meeting information.

Familiarity with Robert's Rules of Order, or willingness to learn.
Chip Representatives (USA/UK)

Drafts and maintains the electronic chip files after getting the approval of WSO

Orders and retains physical welcome chips

Coordinates email or WhatsApp delivery of electronic chips/certificates, ensuring fellows receive recognition of their milestones in a timely manner

Keeps basic records of who is sent chips/certificates

Submits expenses to the treasurer for mailing and printing costs
Email Support

Answers newcomer and support emails from website inquiries in a timely manner.

Directs newcomers to the meeting schedule and provides general information.

Familiar with Gmail and Google Drive.
Meeting Host/Screen Sharer

Monitors the Zoom waiting room and admits OSPA fellows to the meeting. *Zoom safety tips

Shares their screen when OSPA documents need to be viewed by the group.
Secretary

Familiar with Google Docs, Sheets, and Drive.

Prepares agendas for upcoming meetings.

Monitors email for requests to add items to upcoming agenda.

Records the minutes of the WSO meeting.

Notifies the Web Administrator when meeting minutes and agenda are ready to be posted. This is Friday before an upcoming WSO meeting at the latest.

Maintains and organizes WSO records and documentation.

Manages membership of official WSO WhatsApp chat (guidelines listed in group description).
Social Media Account Moderator

Monitors social media accounts for any new activity.

Uploads appropriate content based on the Traditions.

Directs inquiries to the website or the support email.

Familiar with popular social media accounts.
Treasurer
-
Monitors donations, tracks deposits and expenses, and maintains accurate financial records using the WSO's current payment and tracking platforms.

Pays bills as needed and reimburses officers and members for approved expenses.

Presents a full financial report at each monthly WSO meeting.

Prepares the proposed annual operating budget.

Arranges for an annual independent review of financial records.

Maintains the WSO's prudent financial reserve.

Familiar with Google Docs, Sheets, and Drive and the WSO's current payment and document management platforms, or willing to learn.
Web Administrator

Updates and maintains the website.

Updates and maintains all website email addresses.
-
Responds to and directs website inquiries.

Familiar with website building software such as Wix, Weebly, Squarespace, or WordPress, or be willing to learn.

Familiar with Google Docs, Sheets, and Drive.
Web Admin Assistant & Technology Support
-
Supports the web administrator as needed with technical updates.
